Navigating the Occupants Section in EasyHub's Portal: Step-by-Step Guide

Overview of the Occupants Page

The Occupants page is designed to display all current and past occupants linked to units managed in EasyHub. It includes the following fields:

  1. Unit No.: Identifies the specific unit tied to a guest or resident.

  2. User Name: Displays the occupant's full name.

  3. Account: Refers to the PMS-linked identifier or the email/username for account access.

  4. Occupant Type: Specifies the type of occupant, such as a guest or resident member.

  5. Authorization Time: Indicates when the occupant was granted access to the unit and devices.

  6. Actions: Allows you to view detailed information about the selected occupant or manage their settings.


Key Functionalities

  1. Search and Filter:

    • Use the search bar at the top to locate occupants by their Unit No. or User Name/Email Address.

    • Enter partial or complete details to narrow your search effectively.

    • Reset filters to display the full list of occupants by clicking the Reset button.

  2. Viewing Occupant Details:

    • Click the Details link in the Actions column to access comprehensive information about the selected occupant. This includes:

      • Their access permissions.

      • Devices authorized for their use.

      • PMS-synced reservation information such as check-in/check-out dates.

  3. Synchronization with PMS:

    • If integrated with a PMS, the information on this page updates in real-time, ensuring that all guest and resident data is accurate and reflects the current occupancy.


Practical Use Cases

  • Verify Occupant Information: Check occupant details before providing additional access or resolving issues.

  • Manage Access Permissions: Ensure that only authorized individuals can control devices or enter specific areas of the property.

  • Monitor Check-In/Out: Track when guests check in or leave, allowing for smooth transitions and efficient scheduling for cleaning and maintenance teams.

  1. Ensure PMS Integration: This feature is most effective when your PMS is integrated with EasyHub. Contact support if this setup is not in place.

  2. Regular Updates: Periodically verify that all units and occupants are correctly synced to avoid discrepancies.

  3. Use Filters for Efficiency: When managing large properties with multiple units, utilize the search and filter functions to save time.
